Plain-language definitions of the terms you will meet when running a vehicle rental business or choosing rental software.
D
- Double Booking
- When the same vehicle is committed to two customers for overlapping dates — the most damaging routine error in vehicle rental, and an entirely preventable one.
F
- Fleet Management
- The practice of tracking, maintaining and optimising a group of rental vehicles so each one is available, roadworthy and earning its keep.
N
- No-Show
- A confirmed rental where the customer never arrives to collect the vehicle, leaving it idle for dates that were committed and could have been sold to someone else.
R
- Rental Agreement
- The contract between a rental business and a renter that sets out the vehicle, dates, rate, deposit, condition record and terms of the hire.
- Rental CRM
- Customer relationship management built for rentals — tying each customer to their rental history, documents and deposits, connected to availability and bookings.
- Reservation
- A hold placed on a specific vehicle or category for future dates, which removes it from the available pool so it cannot be committed to anyone else for that period.
- Revenue Per Vehicle
- The income a single rental vehicle generates over a period — the metric that reveals which vehicles truly earn their keep, combining how often and at what rate they rent.

- Security Deposit
- A refundable amount held during a rental to cover potential damage, missing fuel, excess mileage or late return, returned to the renter on a clean, on-time return.
T
- Telematics
- In-vehicle technology that transmits location and vehicle data — speed, mileage, diagnostics — over a mobile network. A planned capability for this product, not a live feature today.
- Turnaround Time
- The gap between one rental ending and the next beginning on the same vehicle, used for cleaning, inspection and a buffer against late returns.
U
- Utilisation Rate
- The share of available days a rental vehicle is actually rented — the core measure of how hard your fleet is working.
V
- Vehicle Availability
- Whether a specific vehicle or category is free to rent over a given date range — the core question every rental enquiry comes down to.
