GPS fleet tracking software promises to show every rental vehicle live on a map, alert you when one leaves its zone, and reconstruct trips after the fact. Those are genuinely useful capabilities — and for Vehicle Rental System they are planned and future directions, not live services. This page exists to be honest about that line: what you can rely on today, and what would have to be built and integrated before live tracking could be real.

Status Planned Future

Everything described below under live location, geofencing and telematics is on the roadmap or exploratory. It is not available in the platform today and cannot be switched on. What is available today is due-back tracking derived from reservation records — the system knows when a vehicle is scheduled back, not where it physically is.

Status: planned, not live

Let us be unambiguous before anything else. Vehicle Rental System does not currently offer live GPS tracking, geofencing, or telematics. If you are evaluating the platform and you need real-time vehicle location today, that specific capability is not something we can honestly claim to provide right now. We would rather tell you that plainly than let a marketing page imply a feature that would disappoint you the day after you signed up.

The reason for the whole page, then, is twofold: to explain what genuinely helps with the same problems today, and to describe transparently how a future GPS capability would work — because "planned" should mean a considered direction, not a vague promise.

What is available today

Before the roadmap, here is the solid ground. The platform manages the rental schedule extremely well, and a great deal of what people think they need GPS for is actually answered by knowing the schedule:

  • Reservations and calendar Available — every rental has a start and an expected return date and time.
  • Vehicle availability Available — each vehicle carries a live status: available, reserved, on rent, or in maintenance.
  • Due-back visibility — because returns are scheduled, the system can show which vehicles are out and which are overdue against their agreed return time.

This is schedule-based intelligence, and it is real today. It tells you a vehicle is late; it does not tell you where the vehicle is. Keeping that distinction sharp is the whole point of this page.

What GPS fleet tracking would be

GPS fleet tracking, as the industry uses the term, means receiving a live position for each vehicle from a device on board, and building features on top of that stream — a map of the fleet, zone alerts, trip reconstruction, mileage capture and driving analytics. It is powerful precisely because it reports physical reality rather than intention.

That power comes with a hard dependency: the data has to come from somewhere. Software cannot conjure a vehicle's location out of a booking record. It needs a hardware device reporting position, and a pathway to bring that data in. That dependency is exactly why we treat GPS as planned rather than shipped — it is not a switch in the code, it is hardware plus integration plus a data pipeline.

How it could work via future device integrations

If and when this capability is built, the shape is well understood. It would depend on future device integrations rather than anything the software does on its own:

  1. A device in each vehicle. A GPS or telematics unit fitted to the vehicle determines its position and, potentially, engine and motion data.
  2. An integration to receive the data. The platform would connect to that device's provider or network to ingest the position stream — a third-party integration, not a native sensor.
  3. The software as the display and rules layer. Vehicle Rental System would then show the location against the vehicle and reservation you already manage, and let you define rules such as zones or overdue alerts on top.

The important honesty here is the direction of dependence. The software would consume location data provided by devices and integrations; it would never be the thing that physically locates a vehicle. No devices and no integration means no tracking, regardless of what the software could theoretically display.

Live location and vehicle security (planned) Planned

A live map of the fleet is the headline of any GPS product, and for good reason: seeing every vehicle at once supports security and peace of mind. In a delivered version, each on-rent vehicle with a device would appear at its last reported position, giving an at-a-glance sense of where the fleet is.

For now this is planned. There is no live map in the platform today, and vehicle security in the present system comes from good process — verified renters, consented identity records, agreements and deposits — rather than from watching vehicles move. Those process controls are real and available; the map is not.

Geofencing and unauthorised usage (planned) Planned

Geofencing draws virtual boundaries — a city, a region, a permitted operating area — and alerts you when a vehicle crosses them. It is a natural way to catch unauthorised usage: a vehicle rented for local use that heads out of the permitted zone, for example.

This too is planned, and it inherits the same dependency as live location: without a device reporting position, there is no boundary to test a vehicle against. Today, "unauthorised usage" can only be inferred indirectly — for instance, a rental that is overdue against its schedule — not detected by location. We will not present zone alerts as something you can rely on until the underlying data actually exists.

Trip history, mileage and telematics (future) Future

Further out sits richer telematics: reconstructing trip history, capturing mileage automatically, and analysing driver behaviour such as speed and harsh braking from device data. We class telematics and driver behaviour as a future direction — a longer-term exploration rather than a near-term roadmap item — because it depends on more capable devices and deeper integration than basic positioning.

Mileage today is captured the traditional way, by reading and recording it at pickup and return against the vehicle's condition record. Automatic mileage from a device, trip-by-trip history, and behaviour scoring are not part of the platform now and are honestly labelled as future.

Overdue rentals and recovery support

Overdue rentals are where the gap between today and the roadmap is most tangible, so it deserves a clear treatment. There are two different questions an operator asks about a late vehicle, and only one of them has an answer today:

  • "Is this vehicle late?" — answerable now. Because every reservation records an expected return, the system shows rentals that have passed their due-back time. This is schedule-based and available today.
  • "Where is this late vehicle right now?" — not answerable through this platform today. That is a location question, and it needs the planned GPS capability, which needs a device and an integration.

Recovery support follows the same split. Today the platform supports recovery indirectly: it surfaces the overdue rental, and it holds the consented renter contact details and agreement you would use to follow up. It does not provide live location to physically locate the vehicle — that would be part of the planned GPS capability, not something we offer now.

Worked example: a fleet owner and an overdue rental

Picture a fleet owner, Rajesh, who runs thirty vehicles and worries most about rentals that do not come back on time. Here is exactly what the platform does and does not do for him, without overstating a thing:

  1. The rental is booked. A car is reserved for three days with a return due Wednesday at 6pm. That expected return is stored on the reservation.
  2. Wednesday 6pm passes. The vehicle is not returned. Because the platform knows the scheduled return, the rental appears as overdue in Rajesh's view. This works today — it is due-back tracking, not tracking.
  3. Rajesh needs to act. He opens the rental and sees the renter's consented contact details and the signed agreement. He calls the renter to arrange the return. Everything he uses here is available today.
  4. The question the platform cannot answer today. "Where is the car this minute?" The platform does not know — there is no device reporting its position. Live location is the planned GPS capability, and Rajesh should not expect it now.
  5. What the roadmap would add. If GPS tracking ships, and if Rajesh's vehicles carry devices integrated with the platform, that same overdue rental could also show the vehicle's last reported location, and a geofence could have alerted him earlier if it left the permitted area. Both remain planned, and both depend on hardware plus integration.

The honest summary for Rajesh: today the platform tells him that a vehicle is overdue and gives him the records to chase it; it does not tell him where it is. That is the exact boundary between the available and the planned, and we draw it deliberately.

Why we label this honestly

It would be easy to write a confident page implying live tracking is here today. We do not, because a rental operator who buys on that basis discovers the truth the moment a vehicle goes missing — the worst possible time. Trust is the product. If we say something is available, it is; if we say it is planned, we mean it is a real direction that is not yet real in the software.

So the standing invitation is simple. Use the due-back tracking, availability and consented renter records that work today. Talk to us about where GPS tracking sits on the roadmap if it matters to your plans. But do not deploy your business on a feature we have told you is not yet live — and we will keep telling you exactly which features those are.

It would rely on a telematics or GPS device fitted to each vehicle, sending location data to the platform through a future integration. The software would display that data — it does not itself locate vehicles without such devices.
What can I use today to manage overdue rentals?

Is geofencing or driver-behaviour monitoring available?
No. Geofencing and unauthorised-movement alerts are planned, and driver-behaviour telematics is a longer-term future direction. Neither is live, and both would require vehicle devices and integrations before they could function.
