A rental agreement is the contract that governs a single hire. It records who is renting what, for how long, at what rate, and under which terms — and it is your protection when something goes wrong.
What it contains
A complete rental agreement typically covers:
- the vehicle (or category) and the rental period,
- the agreed rate and any add-ons,
- the security deposit and what it covers,
- the condition record — fuel, mileage and documented damage at handover,
- terms — mileage limits, fuel policy, permitted area, late-return and damage rules,
- the renter’s identity and licence details, recorded with consent.
Why it matters
The agreement is what makes a rental enforceable. An unsigned rental is an unprotected one: without it, fuel, mileage, damage and late-return charges are hard to justify and easy to dispute. Signed at handover alongside the condition record, it becomes the reference for resolving any charge fairly at return.
A note on legal specifics
Requirements for rental agreements vary by country and, within India, by state and vehicle type. This is general information, not legal advice — confirm what your agreement must include locally.
The agreement is generated and stored against the booking in rental software, tying it to the customer record and the reservation so everything for a hire sits in one place.
